What this policy covers

  • Parents/guardians & students: names, contact details, suburb, preferred times, subjects/year level, goals and session notes.

  • Tutors/contractors: identity, contact and right-to-work details, Blue Card/Exemption Card status, bank/ABN, session reporting.

  • Website/analytics: device, pages viewed, referral source, and cookies/pixels (e.g., Google Analytics, Meta).

  • Sensitive information: We may record information about learning needs or medical considerations only with consent and only where relevant to provide safe, effective tutoring.

How we collect it

  • Directly from you via website forms, email, phone, or in sessions.

  • From tutors as part of session reporting.

  • Automatically via cookies/analytics when you use our website. You can adjust cookie settings in your browser.

Why we collect it (use and purpose)

  • To respond to enquiries, match you with a tutor, schedule sessions, and provide tutoring services.

  • To send session updates and progress summaries to parents/guardians.

  • To manage billing, administration, and customer support.

  • To improve our services and website (analytics).

  • With your opt-in, we will send study tips, exam updates and offers (you can unsubscribe anytime).

Disclosure to others
We may share personal information with:

  • Tutors engaged by us for the purpose of delivering sessions.

  • Service providers we use to run our business (e.g., Squarespace, Google Workspace/Sheets, payment and scheduling tools like Calendly, email services, analytics and advertising platforms).

  • Regulators or law enforcement where required by law or to protect safety.

Some providers may store data overseas (including the US, EU or other locations). Where practicable, we take steps to ensure they have appropriate safeguards in place.

Children and guardians
We provide services to minors. We expect a parent/guardian to make the initial enquiry and remain the primary contact. A parent/guardian should be present or readily contactable during sessions unless an alternative safeguarding plan is agreed in writing.

Blue Card & safeguarding
Tutors must hold a valid Blue Card (or Exemption Card for registered teachers).

Data security & retention
We use reasonable technical and organisational measures to protect personal information (access controls, encryption where appropriate, least-privilege access). We keep information only as long as needed for the purposes above or as required by law, then securely delete or de-identify it.

Data breaches
If we suspect unauthorised access, disclosure or loss that may cause serious harm, we will assess promptly and, where required, notify affected individuals and the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme.

Access and correction
You may request access to, or correction of, your personal information by emailing contactscholarselite@gmail.com. We’ll respond within a reasonable time. If we can’t provide access, we’ll tell you why.

Direct marketing
We only send marketing if you’ve opted in. You can unsubscribe at any time via the email footer or by contacting us.
